Do you still need Google Workspace or Microsoft 365?

AI tools now build documents and presentations inside a chat window. Here is what that means for a small South African business owner.

If you want to automate Excel reports every month, the tool landscape just got more crowded. OpenAI has added document editing, presentation building, and shared workspaces directly inside ChatGPT. That puts it alongside Google Workspace and Microsoft 365 in a way that would have seemed unlikely a year ago.

For a small business owner already paying for one of those platforms, the question is simple: does any of this change what you need, or is it noise?

What has actually changed

ChatGPT can now hold a document, a slide deck, and a conversation in the same place. You describe what you want, and the tool builds a draft. You can share it with someone else on your team and keep working on it together.

That is genuinely useful for one-off tasks: a proposal drafted quickly, a slide for a client meeting, a summary of a long document. If you do not already pay for a full office suite, this closes a real gap.

What it does not change is the work that runs every week without you touching it. A chat tool still needs you to open it, type something, and act on the result. That is fine for creative or occasional work. It is not the right fit for the monthly report that should just appear, the invoice that should chase itself, or the quote that should copy across to your accounting system without you retyping it.

Where the real admin sits

Most of the owners we speak to are not looking for a better way to write documents. They are looking for the jobs that eat the week to stop eating the week.

Those jobs live in the tools they already run: Pastel, Sage, Xero, Excel, WhatsApp, Outlook. The monthly report comes from data already sitting in a spreadsheet. The overdue invoice is already in the accounting system. The enquiry arrives on WhatsApp and gets copied somewhere by hand.

A new workspace tool does not touch any of that. What does touch it is automation built directly into those existing accounts, on your own data, running without you having to prompt it each time.

That is what Legarix builds. We plug into what you already run. Everything sits in your accounts and stays yours. We automate tasks, never people.

The new AI workspace tools are worth knowing about. If a team member needs to draft a presentation quickly, they are a reasonable place to start. But they are not a substitute for the admin that should have stopped being manual work some time ago.

If you are not sure which jobs in your week are the right ones to look at first, the audit is the right place to start. It produces a list of what eats the week and a plan to get it back.
